Users and permissions

A Caller account can have several people in it, each with their own email and their own password. Whoever creates the account is its owner and decides who is invited and what each person can do.

All of it is managed in Settings → Users. The owner and the administrators see that tab.

A Viewer sees what a supervisor sees, without the buttons that change anything: it is the access for somebody who only needs to look.

There is also an access for clients, meant for whoever takes calls on behalf of other companies: somebody of a client sees that client’s calls and nothing else. It is explained further down.

Permissions are enforced on the server, not only on the screen: what a role cannot do is refused whichever way it is attempted.

Users are not charged for: the paid plans are charged per agent. The owner counts as one user, and a pending invitation holds its place until it is accepted, declined or expires.

Agents with access do not count as users: you can give access to every agent of your team on any plan. People of a client do count.

  1. Go to Settings → Users.
  2. Under Invite somebody, type their email and choose how they come in: administrator, supervisor or viewer.
  3. Press Send invitation.

The person receives an email with a link. Opening it, they create their access with that same address (or sign in, if they already had one), confirm the email with the 8-digit code and see the invitation before anything else. Accept and enter takes them to work in your account.

The invitation is valid for 14 days and is listed under Invitations waiting, where you can withdraw it. Only somebody who proves the address is theirs can accept it.

In the Users list, choose another role in the menu beside their name. The change applies at once.

The owner can give any role. An administrator can invite and manage supervisors and viewers, but not other administrators. The owner cannot be changed.

An agent with access sees their own calls and nothing else: the recording, the transcript, the score and why each criterion got its mark. They do not see their colleagues, the analytics or the account’s settings, and they cannot change anything.

  1. Go to Settings → Users → Access for your agents. It lists the agents of your team who have no access yet.
  2. If the agent’s card has no email, type it.
  3. Press Give access.

The agent receives the same invitation by email. Accepting it takes them to My calls, with their calls from the latest to the oldest.

On their screen, beside each score, they are reminded that an AI produces it from the transcript and that a person can review it. If you use the scores in decisions that affect your agents, read Privacy and data.

If you group your campaigns by client, you can give people of that client access to see the calls handled for their company: the recording, the transcript, who took it and why each criterion got its mark. They do not see the calls of your other clients, the analytics, your team or the settings, and they cannot change anything.

  1. Go to Settings → Users → Access for your clients. It lists the clients of the account.
  2. Type the person’s email beside the client.
  3. Press Give access.

The person receives the invitation by email and, on accepting it, lands on Calls of that client. You can give access to several people of the same client; each counts as one of the plan’s users, so there is room for as many as yours includes: on Team, for example, one besides the owner.

A call is a client’s through the campaign it belongs to. If you move a call to a campaign of another client, the first one stops seeing it. If you delete a client, its people keep their access but stop seeing calls: remove their access too.

On the Business plan, Settings → Activity shows who changed what in the account, newest first: invitations, role changes and access removed; API keys created or revoked; changes to the webhook and the notices; the redaction of personal data; calls deleted and scores corrected; templates, agents, clients and campaigns deleted; changes of plan.

Each line says when, who and what. It never keeps the content of a call or a secret: of a deleted call it keeps the file name, and of a webhook, the domain it points to. The owner and the administrators see the log, and it is kept for a year.

In Users, press Remove access beside the person. They can no longer sign in from that moment and their sign-in details are erased. The calls, the templates and everything else in the account stay as they were.

Somebody who was invited can also leave by themselves, in Settings → Advanced → Delete my access. That erases their access, not your account.

If the owner deletes the account, the access of everybody invited to it is erased with it.
